Failing to Prepare is Preparing to Fail. When preparing your data to present to your CPA, it is one of the best times to ensure that you have all of the required documentation as well as to ensure that every legal, an no illegal, deductions are claimed. On the contact page of our web-site at http://www.hiscpa.com/newclient.html   there is a checklist for you to use to ensure that you have all the tax items needed. Though the list is not intended to cover all items for all taxpayers, it is written in a thought provoking matter to lead taxpayers and preparers alike to be sure to report and consider all income and all legal tax deductions. Of course, the first best place to go is a copy of the prior year’s tax return, if prepared by a good CPA, to determine the recent past history of a client, while being sensitive to current changes in taxpayers home state, filing status, types of income, itemized deductions etc. Below is a sample of a letter we might send to a taxpayer to help them prepare the required data to ensure a return’s accuracy and completeness:

 Please be sure to get to me copies of all income and deduction items that you have listed over $1000.  By having in my file copies of these receipts/year-end statements in a file, a CPA can have a substantive percentage of the major deduction items that might be required in the event of an audit of a taxpayer’s personal return. 

Frequently taxpayers inadvertently list items twice or fail to turn in an expense report for valid business items. Accordingly I remind taxpayers to please be sure to turn in expense reports for any business expenses listed such as business use portion of Mobile phone, CPA fees or auto lease. I believe the Life Insurance was already deducted on the corporate return. If not please turn in an expense report if business related. Please be reminded that tax law only allows to deduct premiums to pay for up to $50,000 of face value. Also the health insurance premiums your forwarded was already deducted on the corporate return, thus not allowable again on the personal return.

 Also please note I will not need Auto Insurance, Home Insurance, or HOA fees as I have long understood you had corporate vehicle. FYI tax law does not allow a legal tax deduction for personal items.

Repenting and Turning…Taking Christianity Into the World 

Recently I received the attached letter from a taxpayer looking to address their unfiled and unpaid back taxes. The fear and the sin is not in the repenting but from not doing so. Our faith is centered and based upon forgiveness to all who honestly seek it and turn from their past and look to live in the light of Jesus Christ. The below highlighted paragraph is the letter received and the next several paragraphs my response. Believers who are seeking to better themselves and to walk closer with Christ need our support and our prayer and not our judgments and condemnations. Look at those around you in your family, work, school, neighborhood and church whom you can lovingly guide back to our Lord and Savior. 

I am an embarrassed Christian realizing I have been living a lie by not filing or paying taxes on my business for the past several years. I need help so that I can look myself in the mirror in the morning and remove that barrier I have placed between me and my savior Jesus Christ. I don’t know where to begin, what it will cost or who to turn to. I hope you can help.

Business Checklist to Ensure That Your Internal Books are Correct 

Below is a list of items you might use to critique to your internal books. Each and every company should prepare one that is specifically designed to their business to ensure that their financial results are carefully monitored and operating integrity retained. Serving as an Atlanta CPA for over thirty years, I have learned that both having and referring to a “well-kept” set of internal books is a sign of all successful entrepreneurs. The attached checklist will be a good start to ensuring that your own company’s books are correct:

 

-Having  bank reconciliations and statements agreeing/reconciling all cash balances.

-Do Accounts Receivable and Accounts Payable totals agree to open reports/detail per the system.

-How much of Accounts Receivable is over sixty days.

-Do you expect to collect all of the Accounts Receivable balance. If not how much do you expect to have difficulty collecting. How does this amount compare to your Allowance for Doubtful accounts.

-Review your Fixed Asset Records detail on a book basis against your cost, accumulated depreciation, and depreciation expense amounts listed.

-Review your Fixed Asset Records detail on a tax basis against your cost, accumulated depreciation, and depreciation expense amounts.

-Determine what the net increase/decrease will be when calculating tax depreciation vs. book depreciation. To this end please be sure to consider and reflect what fixed assets you plan to buy by year end.

-Ensuring that Shareholder Distributions reflect those only of the current year and that all applicable estimated payments to the IRS and Georgia have been paid.

-Confirm if you Prepaid are correct.

-Confirm if your Accrued Vacation account is correct and applied on a consistent basis from prior years.

-Confirm that your Accounts Payable Other and Other Accrued Expenses are correct.

-Confirm if your Note Payable Accounts, Capitalized Leases, and all Financial Debts are correct.

-Confirm if Customer Deposits account is correct.

-Ensure that the 2008 Shareholder Distributions account as of 12-31-08 is closed to Retained Earnings as of that date.

-Ensure that after you do the above that your internal books equals the retained earnings as of last year’s books.

-Ensure that this year’s Net Income shows as a separate line item on the Balance Sheet.

-Please take a look at your Profit & Loss accounts are correct and verify their financial integrity as all the year to date  totals are higher/dramatically different than one would anticipate based upon prior year operating results, trends, changes in number of personnel, etc.

About Overcoming Life’s 9/11’s: Job’s Journey

A  believer’s life is often fraught with trials and tribulations leading to both defeat and victory. Life’s tragedies, your personal 9/11’s come into our lives seemingly in waves as we face obstacles, which both challenge our confidence and test our faith. Time stood still as the towers fell on that fateful day on September 11, 2001 and lives all over the world were changed forever and the world as we knew it would never be the same.  It is only by the power of an almighty God that we are to persevere.

When tragedy befalls our life, God shares his wisdom with us so we might overcome the world. By leaning on him in the darkness that befalls us, we are able to rise above circumstances that otherwise might cripple our lives. There will be times when you will feel abandoned by all those about you who choose to criticize rather than support and encourage you. We all need a “safe place to fall,” a family member or a brother or sister in Christ who will comfort us in our time of need. Come along one man’s journey as he loses it all becoming both mentally and physically challenged at every turn discovering God never leaves his side and indeed believes in him even during his darkest times. God has a unique calling on our lives and it is through Overcoming Life’s 9/11’s we are able to become more like him.

Two thousand years before the birth of Jesus Christ there lived an ordinary man who, despite challenges that face him, continues to believe in God. Despite ravenous trials, which arrive in quick succession, Job never deters in his faith choosing to believe God would ultimately redeem him. Living in the land of Uz near the desert land between Damascus and the Euphrates River just northeast of Palestine, Job lives his life in pursuit of God while doing His work and bidding. Our lives need to be built on the rock of our faith in Jesus Christ, as it is our belief in Him, which will enable us to withstand life’s trials. Whether our trials are of our own doing or that of others we can discern how to see God’s hand in every event. Though we may not always know why bad things happen we can always find a triune God standing in the gap along with us. The Bible teaches we are to build our life on Him who was the cornerstone and became the capstone and it is in our reliance on Him alone we are able to pass life’s tests.

As we see how one man despite all odds and all those who would turn against him stays true to his faith. Job’s story is one of a man who loses it all, his family, his wealth, and the support of his wife and friends. Yet Job stays true to his faith and to a God who not only restores him, but also gives him much more than he originally lost. Learn how to lean into the pain by seeking God’s will to overcome all that comes your way. God does not promise that our life will be easy but he does say that with him our yoke will be light. Read along as one man, Job, stands, despite the heat of tribulations clinging to his faith when all those he thought he could count on desert him. This story will inspire and motivate you to grow in your relationship with God by leaning on him during life’s fiery trials.

As a Body of Believers we are constantly called to do our best and to excel in all that we do. This applies to us as a husband, wife, child, brother, sister, worker, student or friend. To this end we should give back to the community in which we serve. We have long believed that we should give back by offering free speeches and initial consultations to business owners so that we might share in our knowledge and wisdom we have acquired. This allows us to give back to others, who have in turn previously given so much to us. Ten Years ago, we were blessed to have received the Accounting Advocate of the Year Award.
