Duluth CPA: Advisers Entrepreneurs on QuickBooks & Bookkeeping for Your Gwinnett Business

Hire a Christian CPA as they will be committed to you and your business’s success. Finding someone who is looking out for your best interests are most apt to also refer other outside services such as a payroll company, which is most always a much faster and more economical option than either the CPA or the client preparing them. Also items such as preparing your internal financial statements can easily be taught to client personnel saving potential tens of thousands of dollars over a ten-year period.

Serving God while practicing the Golden Rule, who has some very specific advice as to a direction for your company, will share the information in the first meeting not waiting to be sure to have retained a client, desiring the best for a client rather than solely the service of their own needs and desires. A CPA will be able to offer insightful advice that clients have in turn taken back to their present CPA for compliance. This is certainly desirous in most all respects as we strive to serve, it fails to contemplate the reasons why advice was not forthcoming originally. As Christians we are exhorted to excellence in all things and it is to that end a hiring manager looking for a trusted CPA should spend adequate time and effort reviewing a CPA’s resume, credentials, and references. The below is a sample letter we might send a client to help them with the recording and tracking of their financial results while using QuickBooks for the internal bookkeeping and financial statements:

For the latest internal data you forwarded over I had the below critiques: 

Please go back into you books at the end of the prior year and ensure that they equal the page four of the last filed Form 1120S/Corporate Income Tax Return as they retained earnings you are showing at the end of the prior year does not equal the tax return. 

Please move the dollars listed as Miscellaneous Income and Other Income to Service Revenue. 

Please re-class the $2,000 you have in Miscellaneous Expenses to the correct general ledger account. 

Please move the Due to Shareholder account to an account called the same thing in the Current Liabilities section of the Balance Sheet. Please move the dollars in Owner’s Draw and the loan from you to the business to the Due to Shareholder account. 

I suggest you move all of the below accounts to Office Supplies (Bank Service Charges, Business Licenses, Dues and Subscriptions, Miscellaneous, Postage & Delivery and Printing & Reproduction). All of the dollars you have in these accounts are relatively small and insignificant. Accordingly I would not suggest tracking these in a separate account. 

I suggest moving the Internet Costs to Telephone and Fax and then to re-title this account Telephone & Utilities. 

After you make these changes then please resend your internal Balance Sheet and Profit & Loss.

Tax Representation is not for those who choose to represent themselves as just as Believers have Jesus Christ to be an Advocate with us with our Heavenly Father (Job 16:19), so should all taxpayers seek to work with a CPA who is well versed with tax representation issues. Recently we had the opportunity to retain a new client who had utilized the services of someone who was not a CPA nor familiar with IRS tax representation issues. Though it took some number of months to address adjudicate the issue, we recently received notification that the IRS abated over $26, 000 in Tax Penalties that had previously been assessed a taxpayer. 

Don’t be misled by services telling you can settle by services telling you can settle for pennies on the dollar, as this is partly but mostly not based in absolute truth as often tax penalties such as the above can were abated 100%. On our 2010 Mission Trip to Pueblo Pintado we all watched the majesty of God unfold before our very eyes on a daily, and often hourly basis. The raw beauty of Amazing Grace played as God’s sunrise appeared, the humility and beauty of the Three Sisters, our Cross on a hill, the smiles of the children in VBS and Sports camp, the joy of teaching and crafts of the Women’s Bible Study and at the Senior Center, and the great projects Construction and our Service Teams performed, and watching a VW being built before our eyes as we learned the Object Lessons of the day.

John– I’ve dropped the ball on keeping my GA Sales Tax paid.  Can you provide the ST-3 pre-filled and ready to submit with payment?  My software (QuickBooks) will show me what to pay, but doesn’t provide the ST-2 filled out appropriately. 

Is this something you’d normally handle, or something we should talk to a bookkeeper about?  We’re planning to bring someone in to help with the books a few hours a month (whatever it takes) so we can keep things fully updated and accurate.  That’s not my strong suit. Last question– to catch this up, from March till now, should we submit one payment and ST3, or 5 separate payments and ST-3’s? Thanks,

I would be happy to assist/prepare the sales tax reports. If you would like for me to do them I will need the info. as detailed on the form by month and the original forms. 

We will want to do the forms monthly and not a recap. I also would suggest you make individual payments for each month.

How to Avoid The Top 10 Mistakes Taxpayers Make

Being able to avoid the most common pitfalls taxpayers make is critical to your personal financial success.  Careful discernment and wise application of tax law is an essential and critical part of avoiding otherwise avoidable IRS notices, penalties, responsibilities, IRS audits and amendment of prepared returns.  As a Body of Believers, we are commanded to give unto Caesar what is Caesar’s.  As such and based on the premise of the U.S. tax system, we as taxpayers are solely responsible for the initial filing of our returns and the fair and just filing of our lowest legal possible tax.  Avoiding these top pitfalls that many fall prey to will be an integral step in the proper preparation of your return.

Phase-outs of Itemized Expenses

Many taxpayers fail to consider in both tax planning and preparation of their returns, that itemized expenses/Schedule A can be phased out/limited based upon a taxpayers Adjusted Gross Income (AGI) and their tax filing status.

Phase-out/Limitations of Total Exemptions

Tax law allows taxpayers to take exemptions for themselves, their dependents, their spouse if filing jointly and additional exemptions if disabled or over a certain age.  There total exemptions are then multiplied by the indexes for inflation annually and then this total is deducted in determining taxpayer’s AGI.  Like a taxpayer’s itemized expenses, these too are limited based upon a taxpayer’s AGI and filing status.

Alternative Minimum Tax

Certain items on a taxpayer’s individual return can trigger an additional tax assessment.  This amount is over and above what otherwise would have been assessed if a taxpayer solely referenced their taxable income to the appropriate tax table.  Tax law mandates that taxpayers then pay the higher of the two amounts generated either from regular tax tables or the Alternative Minimum Tax, which is calculated on Form 6251.

Misunderstanding Extensions

Taxpayers frequently fail to understand that an extension to file a return is not an extension of time to also pay the taxes due.  The IRS has a rigid schedule for payment of all taxes and in some cases, there is no room for flexibility whatsoever.  Taxpayers should accordingly take care to pay all of their taxes as they become due without regard to whether an extension to file has been filed/granted.  Always keep in mind an extension to file is not an extension to pay.

Determining Deductible Expenses

Taxpayers frequently fail to understand what they may and may not take as itemized expenses on their Schedule A.  Similarly, individuals often fail to stay abreast of tax law changes and the limitations, documentation and phase-outs thereof in determining their just expense.  Also, many taxpayers who have an unincorporated business/a proprietorship fail to have a good understanding of what qualifies as a business expense, the assessment of self-employment taxes and the attendant responsibility of making estimated payments.

Un-reimbursed Employee Expenses

Tax law allows those who are employees to deduct un-reimbursed business expenses, which are reported on Form 2106.  The total of these are then rolled forward to a taxpayer’s schedule of itemized expenses where they are also subject to additional phase-outs.  Often taxpayers fail to have a good understanding of what qualifies as an un-reimbursed employee expense and fail to correctly document and calculate business mileage.  They frequently fail to consider reimbursements received from their employer and inadvertently include in their mileage/travel expense amounts, their daily commute to and from the office, and these are not deductible.

Retirement Plans

This error is most frequently an error of omission as taxpayers fail to avail themselves of the many and varied options open to reduce their personal taxes and to plan for retirement.  If a taxpayer also has an incorporated or unincorporated business whether a C or S Corporation, LLC, LLP, or partnership, there are even more options for a taxpayer to implement that will allow for a dramatic reduction in both their federal and state tax liabilities.

Going It Alone

Most taxpayers would never consider performing their own surgery and so it should be for the preparation of one’s personal taxes.  At a minimum, I suggest that you have a CPA prepare your taxes at least every three years but I would limit this exception to only very simple returns with no itemizations.  For all taxpayers who would be classified/considered as part of America’s middle class or any taxpayer who owns a business, should have their return prepared by a CPA each and every year.  Tax law changes, nuances, limitations, tax and retirement planning, investing and strategic financial issues are too critical to be satisfactorily addressed alone.

Premature IRA/Pension Distributions

All too often taxpayers will make or receive a premature distribution from their IRA/401K/Pension Plan.  This is perhaps the largest single financial mistake a taxpayer can make for several reasons.  First, these premature withdrawals are not only subject to regular federal and state taxes but most always a 10% federal penalty as well.  This serves as a double negative as not only are you paying additional taxes and penalties but you are also “diving into” your “nest egg” threatening not only your age of potential retirement but also the quality of it.  Furthermore, most all taxpayers who receive a premature distribution fall into a false sense of security wrongly believing the statutory withholding done to be adequate to meet their year-end obligation on these monies, only to find out they have woefully underpaid their taxes and are now subject to further penalties and interest.

Tax Planning

Perhaps the most common error is the failure of taxpayers to anticipate their current year’s taxable income and to plan ahead by paying the IRS and state taxes as the income is earned.  Failure of taxpayers in any of the above areas will also negatively impact their ability to plan for and pay their taxes on a timely basis.  Also the U.S. tax system is a graduated system in which the marginal tax rates increase as does a taxpayers income.  Taxpayers fail to see their return as the dynamic calculation that it is, as income and lifestyle changes and tax law continually impact a taxpayer’s final calculation of tax liability.

 IRS Final Due Date for 2009 Calendar Year Corporate Income Tax Returns is September 15, 2010. 

Wanted to be sure I gave you plenty of notice. 

The 2009 corporate income tax returns final due is September 15, 2010. To ensure we have plenty of time to prepare your returns by the due date I suggest you get me your corporate data by August 15, 2010. 

Please be reminded that the final due date for personal returns is 10-15-10 and that the IRS deems an extension to file as not an extension to pay and that any/all unpaid tax monies due on 2009 personal returns should be paid ASAP.

Please be reminded that the IRS/GA offers no extensions beyond the above dates and that after that they both will add late filing penalties to already potentially due late payment penalties and interest.

Duluth CPA: Getting Your Bookkeeping Correct Pays Dividends for Gwinnett Business Owners

For a new business or any who are going to have short or long term financing needs, it is critical for an entrepreneur to consistently stay in touch with their company’s internal financial statements.  An owner needs to stay in touch with their CPA first and then develop a relationship and to adequately understand all of the many nuances of bookkeeping and the preparation of financial statements.  This is critical to a business owner’s success.  Many times I have personally witnessed a business owner rushing into a bank’s office seeking cash to cover the next day’s or week’s payroll, because of their failure to contemplate the longer term implications of their financial decisions.  Although this is an extremely valid need, as all would agree, the act of responding on an ad-hoc or emergency basis sends a negative message to all concerned. 

Upcoming cash needs should not be a surprise as the key managers and owners should be well versed in upcoming cash needs.  The best way to avoid this is to start with the building blocks of prudent bookkeeping and preparation of reliable internal financial statements. When you are meeting the needs of a rapidly growing company, you are often faced with the cash needs to finance new receivables, an expanding inventory and the increased needs of personnel cost all concurrently.  Thus, it is critical to constantly stay abreast of current financial operations and their intersection of financing needs and specifically how they impact the company’s cash balances. To this end I might send the below as a sample critique to a company who needs to address several issues in the preparation of their financial statements:

In critiquing your internal financial statements I noted: 

One of your back accounts is reconciled as a negative balance. Please review this ASAP to ensure that no overdrafts occur. 

It appears as if you have capitalized several items in the fixed asset accounts that are below $1,000 each. I suggest that all items below this threshold should be expensed. You had one item over $1,000 in the fixed asset accounts. Please advise as to what this is so that I might track accordingly or that you might expense as needed. 

I suggest you re-class all of the monies in your smaller miscellaneous accounts to Office Supplies and then to mark these accounts as Inactive so that no further postings to this account can be done.

Please get a statement from the bank confirming the Note Payable balance as of month end to ensure that the balance listed is correct and then to do a detailed transaction search for the year on the account to ensure correct, based upon items paid/incurred. 

Please record $1,000 of Depreciation Expense for the Month and for when you do future months. 

Please review your bank account as you had several checks dated 7-1-10 to ensure that these are still valid open  and outstanding checks. Also please review the deposits to ensure that they were all correctly classified as income and were not loans to the business. 

For the credit card charges in Office Supplies. Please re-class these items to the correct accounts and please charge future credit card charges accordingly to the correct categories.

Atlanta CPA on Magnifying Christ

Taking Christianity into the World 

We pray this email finds you well and you and that Christ is magnified in your body whether by life or by death. We have had a beautiful week and have much to praise Him for! We brought home our bus from Mississippi and should have it insured and ready to go in the next day or so. Last week, we mentioned we needed a fuel-efficient vehicle for travel and evangelism and God has blessed us with one! Again, He knows our needs and provides far beyond anything we could ever ask or imagine! All praise goes to Him! We had a sister church, Trinity Chapel, come and bless us with painting and the furnishing of Wanda’s apartment. We had multiple churches and groups come out to serve with us as we reach out to the least and the lost. We have brought in more people from off the streets and have a full house here at the Garden! God is faithful. God is moving. God is extravagant!

 Our brother, Gary Graham, with Young-N-Christ ministries, is having a prayer initiative on August 8th and desires 1000 churches to partner with him to pray for the youth of America. We ask for you to join us and him on August 8th and pray for our youth. Here at 7 Bridges, we have youth coming to serve us constantly, and we desire each one of their hearts to be transformed into the image of Christ.  They are our future and we want to see a future generation that magnifies Christ in life and in death!

Pastor 7 with 7 Bridges to Recovery is doing great things to feed the Homeless of Atlanta while spreading the word of God. I suggest you go down and see what he is doing on the weekends to take the message to the streets of Atlanta.
